In the light of recent of recent circumstances, we worked on offering a solution to our clients, the organisers who are interested in making their event fully virtual, without physical attendance.
Our solution was built to support interactive sessions, such as pitches and workshops, which cannot allow the participation of a large number of attendees. For more static sessions with large audiences, such as conferences, take into consideration the pre-recording of the speech or the available streaming solutions.
What sessions can become virtual
- Welcome & introductory sessions
- Plenary sessions
- Pitch presentations
How to activate it
When creating your session, tick Online/Virtual Session.
There are two options:
- Integrated Video Conferencing through Eyeson
The video integrated solution currently supports online conference sessions with maximum 100 participants. If selected, the session will be an integrated interactive session. The participation to the online session will be available immediately, through a button available in the participants' agenda.
- Custom URL
If selected, the organiser needs to provide the link to the meeting in the tool they want to use. Tools like Zoom, GoToWebinar, Webex are supported and they can be integrated in the session settings directly.
The virtual session will have the Online label in the organiser's tool and also, the Join online button will be active. The organiser is able to test if the link is properly inserted, by clicking on it and joining the session. This link will be active from the moment when the online session is created. For links which are too long, a URL shortener can be used.
The online label is also shown in the participants' agenda, marking the sessions which have been set as online.
The Join online session button will be active on the date of the session, between the hours when the session is taking place. The button will be active for registered and validated participants who selected the session. The organiser can also join the session from here.
How Eyeson works
Eyeson is integrated to the b2match platform, so you only need to tick Online/Virtual session in the session's settings and the button which redirects participants to the meeting room will be automatically available. It is recommended for interactive sessions with less than 100 participants, where the dialogue is encouraged, like workshops.
Up to 9 participants can be visible on the screen, but more can dialogue.
When clicking on the join button, the preview of the meeting will allow the participants to check their camera and microphone. Under the Camera, Microphone and Output columns, the participants have the system's options.
The participants can invite other participants through the Quick Join button. The guests don't necessarily need to be registered for the event.
The participants can share screens and upload documents to be presented.
The participants list will be displayed on the right side of the screen.
The multi-speaker layout can be controlled by the organisers. They can place up to 9 speakers on the screen by accessing the layout icon and drag and dropping the video position on the upper part of the window. 9 participants can be visible on the screen at the same time.
Additionally, the participants can use the chat. As all the participants are able mute all the participants and unmute themselves, the organisers should recommend the usage of the chat during the session.
The organisers are able to record the Eyeson sessions by joining the sessions and clicking on Record. This feature is only available for the organisers.
